This is an individual assignment; you are to write this on your own without guidance from
anyone else, including other students, friends, tutors, or family members, to list a few examples.
By writing this on your own, you will be able to assess your current skill level and through these

3. Business Memo #1 Rubric – use a section break in Word to assist you with formatting
this at your end of the memo.

Case: Managing Work Challenges
On July 14, 2021 you sit at your computer to compose and send a message to the company
Finance Director, Hoahua Venderheim.
You are the VP of Operations for Lettuce Eat, a leading restaurant chain that operates vegetarian
restaurants across North America, with a heavy presence on the west coast. You have been with
the company for twelve years and have worked your way up through the ranks, working in the
marketing and operations side of the business. You have a reputation as “one of the family”,
understanding the many facets of business and priorities of the company.

Lettuce Eat began in Vancouver, British Columbia in 1995 with a small space in Kitsilano.
Every night the restaurant patrons lined the streets hoping to get in, which inspired the owners to
expand. Due to the growing health fad of organic and vegetarian diets, the company continued to
succeed in each city it set up. The owners, Crystal and Graham Wasstler, had taken out a second
mortgage on their house originally to begin their dream of operating a sustainable organic and
healthy choice alternative for eating out, has now grown the company to be ranked in the top
twenty places to eat on any city listing, where it is located. In addition, the company is valued at
over 75 million dollars.

Growing up in the United States (US), you had your first taste of Lettuce Eat when it expanded
to San Francisco. After your initial meal there, your family would often frequent the restaurant.
On one occasion, you even met the owners. At that time, you were attending a University
majoring in a business operations and hospitality program. Graham Wasstler was visiting and
extended an offer to you to join the company once you had graduated, as he liked an idea you
had suggested for a potential marketing campaign that could target the university crowd.

This idea stuck in the back of your mind and so when you completed your degree and were on
the hunt for a new job, your first cover letter was sent to Lettuce Eat. Since you had met Graham,
you had spent much of your working career within the food and beverage industry learning all
about the operations, including having been a server, bar tender, and kitchen staff to help pay
your university bills. Within three months of sending your letter, you were working as a junior
on the marketing team.

Today you had an executive meeting and a key topic on the agenda was a recent fire in one of
your newer restaurant locations in Toronto (company code CE-23-8CB), which has shut down
operations while the facility undergoes a fire investigation to determine the cause of the fire. No
one was injured during the fire, but this is not the first fire you have had at your new locations in
the last six months.

There are many actions that need addressing in the interim, while decisions are made by the
insurance company and clarity is provided on whether the facility can be repaired. What is
concerning to you, is that this isn’t the first fire, over the last six months there have been three
other fires at new locations. Six months ago there was a fire at the Winnipeg location (company
code CI-50-4DT), which had only been open a week. The New York location (company code
UE-145-2PZ) was in the final stages of being built four months ago, when it faced a fire, and the
Tucson location (company code UCL-32-QV9) was getting the final touches put on the kitchen
three months ago. In each case, there was a logical reason for the fire and the insurance company
has agreed to pay out the repairs, but not all the cheques have been received yet.

You have deployed the Incident Support Team (IST), to assess the Toronto facility and begin the
long administrative process of working with the insurance provider. In addition, you have asked
them to look at any patterns to determine if there is a common root cause for the fires across the
four locations. Knowing that the insurance company will take time to payout for the various
repairs and renovations, you just got approval from the executive team on contingency funds that
can be diverted to these various locations in the interim to get them opened quickly. The
emergency funds will come from account number GenEM-09753-01.

The President, has approved emergency funding of $567,325.00 be sent to the Toronto location
to assist with clean up, and immediate construction and clean up needs. The Winnipeg location
has seen an opportunity to improve their kitchen facility and requires $139,485.00, the New
York location has faced increased costs on the repairs due to a labour shortage and so has
overruns of $238,647.00, and finally the Tucson location just needs to create and build their
motorized awnings requiring $65,586.37.

You are delegating the important time sensitive task of transferring the emergency funds to your
Finance Director (Hoahua Venderheim). Hoahua is based in the Vancouver office, while you are
currently located in the Toronto head office. Hoahua has worked for Lettuce Eat for five years
now and recently you have noticed a number of errors showing up in his work. You know that he
is struggling with managing his elderly parents that have just moved in to his house, in the last
six months and so have provided opportunities for him to take extra days off and work from
home, as required.

Write a memo to Hoahua directing him to complete the emergency transfers for the four
locations – Winnipeg, Toronto, New York and Tucson. In order to complete the task, Hoahua
will need the company location codes, transfer amounts, and the emergency fund code number.
Hoahua will also need the account numbers for each of the locations and the names of their
respective banks. You need Hoahua to complete the transfers as soon as possible, requiring the

transfers to be completed no later than August 4 4:00 p.m. PDT. Once he is done, he must email
you to let you know the transfers have been successfully completed. Crystal also wants to be
Cc’d on Hoahua’s confirmation email back to you.

As is common practice in business, you plan to attach this memo to an email so that the memo
can traverse the country quickly and get to its recipient. (NOTE: for this assignment, you are
only writing the memo, not the covering email).

The bank account number for the Tucson location is 9866-3485-201, and the account is based at
the US Central Bank. The New York location is serviced by account number 3234-7645-306 at
Confederate Bank. The bank account number for Winnipeg is 54-2356-975, which is kept at
Canadian Imperial Country Bank (CICB). For the recent restaurant the bank account number is
98-2396-645 and the bank is Winter Bank.

A final directive that you have for Hoahua is that he needs to email Kenny Wilson, a special
project accountant that tracks all unusual financial transactions. The email to Kenny should be
sent immediately after the email indicating the funds have been transferred. Hoahua needs to
provide Kenny with two types of information: the relevant location codes and the corresponding
amounts transferred.
