ISYS90050 IT Project and Change Management

Reading Time: 15 minutes
Writing Time: 2-hour exam (Strict Time Limit Exam)
This paper has THREE (3) pages.

Identical Examination Papers: None.

Authorised Materials: Open book exam – you are allowed to use calculators and lecture material if
required. No other material is allowed. If you wish to use any material from your lectures, make sure you cite
the source appropriately.

Instructions to Students:
Students must answer all the questions. There are two sections in this exam each worth 20 marks. Students
must follow the instructions below:

1. You can access your exam via Canvas LMS under the Assignment section.
2. You will be given 2 hours to complete this exam with 15 minutes reading time.
3. You may check your student portal for the date/time of your exam
4. A Zoom link is provided – to use during the reading time alone – in case you have any queries

5. No late submissions will be allowed, as this is a final exam.
6. Only one final submission will be accepted.
7. You will submit the exam via Assignment section. The exam submission will be processed through
Turnitin for plagiarism. We will check submissions for originality and will invoke the University’s
Academic Misconduct policy (http://academichonesty.unimelb.edu.au/policy.html) where
inappropriate levels of collusion or plagiarism appear to have taken place.

SECTION A—PROJECT MANAGEMENT TECHNIQUES
This section is worth TWENTY (20) marks. You must answer ALL questions.
Question 1 (10 marks): Consider the following activities in a project:


a. (3 marks) Create a network diagram, starting at 0 and following the labelling convention given:






b. (1 mark) Identify the critical path in the activity network diagram
c. (1 mark) How many days does it take to complete the project?
d. (1 marks) What is the total slack in this project? What does total slack actually mean for any project?
e. (2 marks) If task H takes 33 days and task I takes 25 days, how will this affect the critical path and the project
duration?
f. (2 marks) In general, should critical path activities be managed differently from non-critical path activities?
Explain briefly in a couple of lines.
Question 2 (10 marks): Tim (the Project Manager) and his team start work on a project that develops an application to
reduce carbon footprint in Australia. Tim and his team are aware that the project is on a tight budget and schedule. Tim
is introduced to Janet, one of the stakeholders in the project. He is informed that Janet will help him with the
requirements gathering activity. In their first meeting, Janet simply provides Tim with a list of 20 concepts on low
carbon footprint – a requirements list she believes is accurate and sufficient. The list is vague and does not clearly
identify the functional, non-functional and domain requirements. Further, Janet resides in Perth. Meeting her on a
regular basis is a problem. Every time he emails her to set a time to call or Zoom, she postpones the meeting or does not
respond to his emails. When they actually email or Zoom, Janet provides Tim with a new list of requirements every
time they meet. They are 5 months into the project. Tim is unhappy about the fact that he is unable to capture a holistic
view of the project from all stakeholders and its intended requirements. The project team is frustrated due to the
changing requirements.
Based on the scenario presented, answer the question below:
a. If you are Tim, what risks do you foresee in the project due to Janet’s changing requirements every time they
meet? List the risks and indicate the impact of these risks on the project. As a guide keep your answer to about
HALF of a written page [4 marks]

b. If you were Tim, what would you do as a first step to addressing the concerns regarding the project given his
experience with Janet? Choose one of the options listed below as your first step and justify your answer. As a part

of your justification, also explain why the other options listed below might not be a good first approach in your
opinion. As a guide keep your answer to about a HALF to ONE written page [6 marks].
I. Send Janet a one-line email asking for a time to meet with no context/agenda in the email.
II. Send Janet an email telling her that you wish to talk about the project status, changing requirements, the
schedule delays and request a time to meet.
III. Avoid meeting Janet face-to-face or via Zoom, rather send her a long email with a detailed explanation of
why the new requirements cannot be accommodated.
IV. Send Janet a detailed e-mail about the following events that occurred in the last 5 months (1) how many
meetings were missed, (2) how many new requirements were given, (3) how many times existing
requirements were changed; and (4) how many requirements were vague? Having presented these facts,
explain clearly to Janet why the project could be delayed.
V. Send an e-mail to Janet’s boss with the same details as in the previous option (IV), and request a different
person to take over from Janet’s responsibilities.

SECTION B—TEAMWORK, ETHICS, NEGOTIATION/CONFLICT
RESOLUTION, CHANGE MANAGEMENT ISSUES
This section is worth TWENTY (20) marks. You must answer ALL questions.
Question 3 (5 marks): What will be the likely result of a win-win style manager negotiating with a win-lose style
manager? What if they were both striving for a win-lose outcome? Keep your answer brief to about a HALF page.

Question 4 (15 marks): You are the project manager and as a part of the Change Management team, you are leading
the rollout of an IT platform called ‘COVID Contact Tracer’ that maintains information about people, who someone
with COVID-19 has had contact with, and the locations the person has been when they are infectious. This project
rollout involves systems changes as well as process changes in the Victorian Department of Health Services. The
delivery of this contact tracing system will involve significant change for the employees. The Department of Health
Services has recruited new staff with specialised skills for the contact tracing initiative; and at the same time has
suggested making some job roles redundant. Some staff are worried they might lose their jobs because of the rollout of
the new system, and are beginning to show signs of resistance, anxiety and de-motivation in the work place. You and
your Change Management team have to manage resistance and conflicts experienced by some staff members during this
change, and also influence the newly recruited staff to adopt and use the ‘COVID Contact Tracer’ system.

Address the following question:
What strategies would you use for addressing change, as part of the Change Management Plan for the rollout of the
‘COVID Contact Tracer’ system? Justify your answer. As a guide keep your answer to about ONE to TWO written
pages.
